User and Seat Management Policy
Purpose
This policy outlines the definitions, processes, and responsibilities associated with managing user accounts and seats on the Lega platform. It is intended to assist customers in understanding how user counts and seats interact, as well as the circumstances under which users may be deactivated.
Definitions
Registered User. A Registered User is any individual with a user account on the Lega platform.
- For customers utilizing Single Sign-On (SSO), user accounts are automatically created upon the user’s first login.
- For non-SSO customers, user accounts must be manually created by a security admin.
Active User. An Active User is any Registered User whose account has not been deactivated in accordance with this policy.
Seats and Active Users
Every Active User of the Lega platform must have a seat under the customer’s subscription agreement.
Customers are responsible for ensuring they have an adequate number of seats to accommodate their Active Users.
As a courtesy (to help the customer avoid overage charges), Lega may monitor seat utilization and notify the customer when it is nearing full utilization of its pre-purchased seats.
Deactivation of Users
Lega permits customers to deactivate an Active User under the following circumstances:
- Contract Renewal. At the time of contract renewal, for a period of 15 days before and after the renewed subscription start date (30 days total), customers are free to deactivate any user for any reason.
- Employee Departure. Customers may (and always should) deactivate any user who leaves the organization.
- Persistent Inactivity. If a user has not logged in to the Lega platform within the last 30 days, their account may be deactivated at the discretion of the Security Admin.
Deactivation Process
Users can be manually deactivated by a security or system administrator in Lega’s Admin Center. For detailed instructions on how to deactivate a user, please refer to the User Deactivation support article.
Responsibilities & Compliance
This policy is designed to help customers maintain compliance with their contractual obligations and to optimize the efficient use of the Lega platform.
Security Admins are responsible for reviewing user activity and ensuring deactivation processes are implemented in accordance with this policy.
